The Project Support - Administration is based in the company Head Office – Dubai and reports to the Division Sales Manager. The position is responsible for handling all the Administration related issues of the External Shades Division, assist in the preparation and follow up of invoices.
· Estimation of all retractable shades and canopies
· Drafting Quotations and sending it to the clients
· Preparing Job Cards, Delivery Order’s and Invoices
· Customer Payment Follow-ups
· Preparing Prequalification of all our products (under different projects)
· Coordinating with our Logistics dept regarding our daily transportation to sites and other related issues
· Coordinating with our Procurement for material delivery and other things.
ü Keeping records of the quotations we sent to the clients (Quotation Register)
ü Maintaining records of the projects completed till now (Project update List)
ü Temporarily Invoices /Delivery Notes (if required)
ü Complete commercial works for the External Shades Division
ü Prepare the Project Invoices and follow up payment
ü Arranging site visits to the client's premises for site inspection
ü Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer
ü Communicate with customers, staff, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
ü Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
· May perform other duties as directed.
Qualifications and experience:
· Bachelors Degree in Engineering
· Three years of working experience as an Engineer in Construction Industry
· Working knowledge of AUTO CAD
